See your profit and loss and balance sheet

Open Financial statements to see your trial balance, profit and loss, balance sheet and cash flow for any period, straight from your books. Compare with last year, switch to Schedule III, and download Excel or PDF.

Steps

  1. 1 Open Financial statements from the Accounts menu.
  2. 2 Choose the tab you need, such as Trial balance, Profit & loss, Balance sheet or Cash flow.
  3. 3 Set the From and To dates, or As on for the balance sheet.
  4. 4 For the trial balance or profit and loss, choose a Branch to see one branch, or keep the whole organisation.
  5. 5 Switch on Last year alongside to compare, Schedule III for the company format, or Show ledgers for the detail.
  6. 6 Click Excel or PDF to download what you see, for example for your CA or your bank.

What each tab shows

  • Trial balance: opening, debit, credit and closing for each group, or each ledger with Show ledgers on. Click a ledger to see every posting to it.
  • Profit & loss: income and expenses for the period, with gross and net profit.
  • Balance sheet: what the business owns and owes as on a date, in the vertical form or in Schedule III form for companies.
  • Cash flow: cash from operating, investing and financing activities, by the indirect method (AS 3).
  • Funds flow and Ratios: where funds came from and went, and ratios such as the current ratio.
  • Cost centres: profit and loss split by project, department, vehicle or site.

Getting figures you can rely on

The statements are only as good as the entries behind them. Before you send them to your CA or bank:

  • reconcile your bank accounts, so the bank balance is real;
  • post depreciation up to the date, under Fixed assets;
  • post any provisions (rent, audit fee) as journal vouchers;
  • check the Review tab under Accounting for entries your accountant has not seen.

Who can see them

The statements need the books reports permission. The Owner, Admins and Accountants have it, and so does the Chartered Accountant role you can give your external CA, who can read and download but not change anything. The same statements are also listed under Reports → Books, where you can have them emailed on a schedule.

Questions

Do I have to post invoices and receipts to the books myself?

No. Every invoice, receipt, purchase bill, vendor payment and voucher posts to your books when it is issued or saved, so the statements are always up to date.

Where does the closing stock figure come from?

From the stock valuation of your items (weighted average or FIFO, as set for your organisation), as on the last date of the period. You do not enter it by hand.

Why does the trial balance not balance?

Almost always because the opening balances do not balance. EaseDesk says so on the Trial balance tab; correct them under Accounting → Opening balances until total debit equals total credit.

Can I see profit for one project or department?

Yes. Add cost centres under Accounting → Cost centres, choose them on invoices, bills and voucher lines, and open the Cost centres tab here for income and expenses side by side.
