Keep a fixed asset register and run depreciation

Open Fixed assets and click Add asset for each machine, computer or vehicle. EaseDesk works out depreciation for your books and keeps the Income-tax block schedule; click Post depreciation to put it in your books.

Steps

  1. 1 Open Fixed assets and click Add asset.
  2. 2 Enter the Asset name, choose its Class (the useful life is shown) and the fixed-asset Ledger it belongs to.
  3. 3 Enter the Cost, the date it was Bought on and the date it was Put to use on, and its Location if you like.
  4. 4 Leave Depreciation on By entity type (recommended), or choose straight line, written down value or the Income-tax rate.
  5. 5 Click Add asset. It gets a code such as FA-0001.
  6. 6 To charge depreciation, open the Depreciation tab, set Depreciate up to, check the preview and click Post depreciation.

Before your first asset

Each asset sits in a ledger under the Fixed Assets group, such as Computers, Plant and Machinery or Furniture. If the ledger you need is missing, add it under Accounting → Chart of accounts → Add ledger first. The class you choose sets the Schedule II useful life and the usual Income-tax block; the residual value defaults to 5% of the cost.

What posting depreciation does

Post depreciation charges every active asset from the day after its last charge up to the date you choose, and posts one journal for the whole run. You can run it monthly for management accounts or once at the year end. The register then shows the depreciation to date and the book value of each asset, and your balance sheet and profit and loss follow.

Depreciation never takes an asset below its residual value, and land is not depreciated.

Reports

The Fixed asset register and Income-tax depreciation (blocks) reports under Reports → Assets give your CA the schedules for the audit and the income-tax return, in Excel or PDF.

Who can do it

Keeping the register and running depreciation needs the assets permission, which the Owner, Admins and Accountants have.

Questions

Which depreciation method does EaseDesk use?

By default, a company (private, public or OPC) depreciates by Companies Act Schedule II on the straight line method over the class's useful life, and any other business at Income-tax rates on the written down value. You can choose straight line or written down value under the Companies Act, or the Income-tax rate, for any asset.

Does EaseDesk also keep the Income-tax depreciation?

Yes, always. The Income-tax blocks tab shows each block's opening written down value, additions put to use for 180 days or more and for less than 180 days (which get half the rate for that year), depreciation and closing written down value.

How do I record selling or scrapping an asset?

Open the asset and click Sell or discard. Enter the date, the sale amount (blank if discarded) and the account the money came into, then click Post the sale. The profit or loss on sale is posted for you.

Can I undo a depreciation run?

Yes, the latest one. Runs are listed under Runs on the Depreciation tab; cancelling the latest run reverses its journal, so you can correct an asset and post again.
