Lock periods and close the financial year
Under Accounting → Year-end, lock your books up to a date so nothing filed can change, and close each financial year after it ends. Closing runs checks, moves the year's profit to capital, and balances carry into the next year.

Steps
- 1 Open Accounting and choose the Year-end tab.
- 2 To lock a period, pick the date under Lock up to and click Lock. Lock a month once its GSTR-3B is filed or its books are reviewed.
- 3 After 31 March, find the year under Financial years and click Close year….
- 4 Read the checks. Lines starting with Fix stop the close; lines starting with Check are warnings to look at.
- 5 Check where the profit or loss goes. For partners, enter each partner's share in %; they must add up to 100%, and blank means equal shares.
- 6 Click Close the year. It shows as Closed and nothing more can be posted in it.
Why lock periods
Once a month’s GSTR-3B is filed or your CA has reviewed the books, a change to that month would put your books out of line with what was filed. A period lock stops that: nothing dated on or before the lock date can be added, changed or cancelled, by anyone, until the lock is moved back with a reason.
What closing the year does
A year can be closed only after its last day. When you close it, EaseDesk posts a closing entry that moves the year’s profit or loss out of the Profit & Loss A/c:
- Proprietorship: to the proprietor’s capital account.
- Partnership or LLP: to the partners’ capital accounts, in the shares you enter.
- Company: to retained earnings (reserves and surplus).
The year is then marked Closed, so nothing more can be posted in it, and next year’s opening figures on the balance sheet follow automatically.
Who can do it
Locking and unlocking periods and closing a year need the books lock permission, which the Owner, Admins and Accountants have. Only the Owner can reopen a closed year.
Questions
Do I need to carry balances forward to the new year?
No. Ledger balances, open invoices and bills, and stock run on from one year to the next by themselves. You can work in the new year from 1 April, even before the old year is closed.
How do I unlock a locked period?
Clear the Lock up to date or choose an earlier one, type the reason under Why unlock, and click Unlock. The reason is kept in the audit log.
Can a closed year be reopened?
Yes, by the Owner. Click Reopen next to the year and give a reason. The closing entry is reversed so you can correct entries; close the year again when you are done.
What do the year-end checks look at?
Opening balances that do not balance, a balance left in Suspense A/c, draft vouchers, invoices or bills dated in the year, bank postings not reconciled, and items in stock with no value. An earlier open year must be closed first.
