Reconcile your bank statement
Go to Bank & cash, open Reconcile and click Import statement to load the CSV or Excel file from your net banking. EaseDesk proposes a match in your books for each line; confirm them, record bank-only lines such as charges, and check the BRS.
In EaseDesk: Bank & cash → Reconcile. Log in or start a free trial.
Steps
- 1 Open Bank & cash, choose the Reconcile tab and pick the Bank account.
- 2 Click Import statement and choose the CSV or Excel file downloaded from your bank.
- 3 Check the columns EaseDesk picked (date, narration, reference, withdrawal, deposit, balance) and click Check.
- 4 When the check shows the new lines and that the balances add up, click Import.
- 5 Click the Confirm … proposed button to accept every proposed match, or use Confirm, Match… or Leave out on each line.
- 6 For a line only the bank has, such as an SMS charge or interest, click Record in books…, pick the ledger and click Post and match.
- 7 Open the BRS tab to see the bank reconciliation statement as on any date.
What you get
Every receipt, vendor payment, voucher and cheque that touches a bank account is a posting waiting for the bank. Once each statement line is matched, you know the balance in your books is real, and the year-end check has nothing to warn you about.
Reading the BRS
The BRS tab starts from the balance as per your books and adds or takes away:
- cheques you issued that the bank has not paid yet;
- deposits the bank has not credited yet;
- amounts the bank credited or debited that are not in your books.
The result is the balance as per bank. When a statement is imported for the date, EaseDesk compares it with the statement’s own balance and says The books and the bank agree, or shows the difference so you can look for a wrong match or a missing statement.
Rules to know
- Add the bank account first under Bank & cash → Add bank account. Cash accounts are not reconciled.
- A wrong match can be undone with Unmatch; a line you left out can be brought back.
- Record in books… posts a receipt voucher for money in or a payment voucher for money out, and matches it to the line in one step.
Who can do it
Importing statements and reconciling needs the banking permission, which the Owner, Admins and Accountants have.
Questions
Which statement formats can I import?
CSV and Excel (.xls or .xlsx) files as your bank's net banking gives them. The column choices are remembered for each bank account, so the next import needs only the file. PDF statements cannot be imported.
What if I import the same statement twice?
Lines already imported are skipped, and the check tells you how many were seen before. You can safely import overlapping periods.
How does EaseDesk decide what matches?
It looks for a posting of the same amount, preferring one whose UTR, cheque or voucher number appears in the bank's narration, then the nearest date (from 45 days before the bank line to 7 days after). A deposit of several cheques can be matched to up to four postings that add up to it.
I do not have a statement file. Can I still reconcile?
Yes. Under Not yet seen in the bank, enter the bank date from your passbook against each posting and click Set.
