Run reports and email them on a schedule
Open Reports, pick a report, set the dates and filters, and download it as Excel or PDF. Click Email regularly to have it sent to you or your CA every day, every Monday or on the 1st of each month.

Steps
- 1 Open Reports. Reports are grouped by area, such as Sales, Collections, Purchases, Payables, Stock, Books and GST.
- 2 Click the report you need.
- 3 Set From and To, or As on, and any filters the report offers, such as Branch, GSTIN, customer, vendor, ledger or item.
- 4 Click Excel or PDF to download it. Click a document or ledger in the report to open it.
- 5 To have it sent regularly, click Email regularly, choose How often, the hour (IST) and Excel or PDF, and enter the email addresses under To.
- 6 Click Save. The confirmation shows when the next email goes.
What is in Reports
- Sales and collections: sales register, item-, customer-, branch- and HSN-wise sales, credit notes, receivables ageing, outstanding bills, collections and receipts by payment mode.
- Purchases and payables: purchase register, pending purchase orders, goods received but not billed, expense register, payables ageing, bills to pay, payments register, TDS deducted, and bills unpaid over 180 days.
- GST: GSTR-1, GSTR-3B, the GSTR-2B reconciliation and GSTR-9 data, input tax credit summary, reverse charge liability, e-invoice and e-way bill status, and the E-invoices to register list.
- Stock and manufacturing: stock summary, stock movement, stock ageing, batches near expiry, production summary, material consumption and goods with job workers.
- Books: trial balance, profit and loss, balance sheet, cash flow, funds flow, ratios, cost-centre profit and loss, group summary, ledger, day book and income vs expense.
- Banking, TDS, assets and audit: cheque register, TDS and TCS payable, challans, TDS receivable against 26AS, the fixed asset register and Income-tax blocks, entries not reviewed, and the edit log.
- CRM: opportunities, enquiries, contracts and tasks by person.
A report in your inbox
A scheduled report saves you opening EaseDesk just to check the numbers: yesterday’s collections every morning, or last month’s sales register on the 1st for your CA. If a run fails, the Scheduled reports list marks it Last run failed with the reason.
Who can do it
Anyone can run the reports their role allows. The Owner and Admins see all of them; Accountants see the sales, purchase and books reports; the Chartered Accountant role can read and download them.
Questions
What period does a scheduled report cover?
It follows the choice you make. Every day sends yesterday's figures, every Monday sends the last 7 days, and on the 1st sends last month. Reports that show a position as on a date use the day the email goes. The filters you had chosen are kept.
Where do I see or stop scheduled reports?
Under Settings → Organisation → Scheduled reports. Each one shows when it last ran; click Send now to send it at once, or Delete to stop it.
Can my CA receive reports without an EaseDesk login?
Yes. Put your CA's email address under To. The report arrives as an Excel or PDF attachment.
Why can I not see some reports?
Reports follow your role. Sales, purchase and books reports each need their own permission, and GST returns need GST access. Ask the Owner or an Admin to change your role if you need more.
