What a GST tax invoice must carry

The GST rules list the particulars of a tax invoice. This maker asks for each of them and lays them out for you:

  • Your name, address and GSTIN.
  • An invoice number unique for the financial year, of 16 characters or fewer, using letters, digits, “/” and “-”.
  • The date of issue.
  • The customer’s name and address, and their GSTIN if they are registered.
  • The HSN code of goods or the SAC code of services, the description, quantity and unit.
  • The taxable value, the rate and the amount of CGST, SGST or IGST.
  • The place of supply, with the state’s name.
  • Your signature, or that of the person you authorise.

What this tool does not do

It makes one invoice at a time and keeps nothing. It does not number your invoices for you, record the payment, or report the invoice anywhere. If your aggregate turnover has ever crossed ₹5 crore in a financial year, an invoice to a registered business must also be reported for an IRN; see who must issue e-invoices. Goods worth more than ₹50,000 on the move usually need an e-way bill too.

Questions people ask

What must a GST tax invoice show?

Your name, address and GSTIN; a unique invoice number of up to 16 characters and the date; the customer’s name, address and GSTIN if registered; the HSN or SAC code, description, quantity and unit; the taxable value, the rate and amount of each tax; the place of supply; and your signature.

Is the invoice I make here valid?

It carries the particulars a tax invoice needs, with the tax worked out correctly, so you can print or send it. If e-invoicing applies to your business, an invoice to a registered customer also needs an IRN from the government portal, which this tool does not get.

Is my data saved or sent anywhere?

No. The invoice is built in your browser and is gone when you close the page. Save it as a PDF before you leave. To keep invoices, customers and items, and to see who has paid, use EaseDesk itself.

How do I save the invoice as a PDF?

Click Print or save as PDF, and in the print window choose Save as PDF as the printer. On a phone, choose Print from the share menu and then save or share the PDF.

How does it decide between CGST and SGST, and IGST?

From the two states you choose. If your state and the place of supply are the same, each line carries CGST and SGST (or UTGST). If they differ, it carries IGST.

Can I make an invoice without a GSTIN?

Yes, but a business that is not registered under GST cannot charge GST. Leave your GSTIN empty, keep the rate at 0%, and the document is titled Invoice.
