Plan production with a bill of materials
Under Manufacturing, set up a bill of materials for each item you make, then plan a production order. Issue the material, receive what is made and complete the order; EaseDesk works out the actual cost of each unit.
In EaseDesk: Manufacturing → Production orders → New production order. Log in or start a free trial.
Steps
- 1 Open Manufacturing, choose Bills of materials and click New bill of materials.
- 2 Pick the Item made and how much one batch makes. Add the Materials with their quantity per batch and expected scrap %, any by-products, and Overheads such as labour or power, per unit or per batch. Click Save.
- 3 Choose Production orders and click New production order. Pick the item, enter the Quantity, and choose Material from and Output to warehouses. Click Plan order.
- 4 On the order, check the material planned, in stock and short. Click Order what is short to draft purchase orders if needed.
- 5 Click Issue material when work starts. The material leaves stock.
- 6 Click Receive output and enter how many were Made, as often as goods are finished. Click Complete when the order is done.
What a bill of materials holds
A bill of materials (BOM) lists what one batch of an item takes:
- Materials: items or sub-assemblies, with the quantity per batch and the loss you expect as scrap %.
- By-products and scrap: what else comes out, with its share of the batch’s cost (0 for scrap of no value).
- Overheads: labour, power or machine time, per unit made or per batch.
Only one version of each item’s BOM is in use at a time.
How stock moves
Planning an order moves nothing. Issue material takes the materials out of the Material from warehouse, batch and serial aware. Receive output brings the finished goods into the Output to warehouse at the cost built up so far, with by-products as the BOM expects. You can receive output in parts. Cancel order puts issued material back in stock.
The finished item is then in stock like anything you buy, ready to invoice.
Reports
Production summary (planned against actual, and yield) and Material consumption are under Reports → Manufacturing.
Who can do it
Bills of materials, production orders and job work need the manufacturing permission, which the Owner and Admins have. You can give it to a production supervisor with a custom role.
Questions
How is the cost of what I make worked out?
From actual figures. The material issued is valued at its stock valuation, the overheads from the bill of materials are added, and any by-products take their share. The order shows the material cost, overheads, cost per unit made and the yield against what was planned.
Can a bill of materials include sub-assemblies?
Yes. A component can itself be an item with its own bill of materials. The bill of materials page shows what it takes, at all levels, to make a quantity you enter.
What happens when I change a bill of materials?
Saving makes a new version and uses it for new orders. Orders already planned keep the version they were planned with, and the older versions stay for history.
Is there a quicker way for simple kits?
Yes. Click Assemble, pick the item, quantity and warehouse, and EaseDesk takes the components out of stock and brings the item in at their cost in one step.
