Send goods for job work and receive them back
Under Manufacturing → Job work, click Send to a job worker to make a delivery challan. The goods stay in your stock until they come back; record them with Record goods back, and download the ITC-04 data for the GST portal.
In EaseDesk: Manufacturing → Job work → Send to a job worker. Log in or start a free trial.
Steps
- 1 Open Manufacturing, choose the Job work tab and click Send to a job worker.
- 2 Pick the Job worker (a vendor in your Directory), describe the Job, such as polishing or cutting, and choose the Date and From warehouse.
- 3 Switch on Capital goods if you are sending machinery or other capital goods rather than inputs.
- 4 Add the goods sent and their quantities, and click Make challan. Click Challan to print the delivery challan that travels with the goods.
- 5 When goods come back, open the challan, click Record goods back, and enter the date, their challan number, what came back as sent, what was used up, what was made from them, and any waste. Click Save.
- 6 When everything is back, the challan shows as Completed.
The goods stay yours
Sending goods for job work is not a sale. The challan moves them from your warehouse to the job worker, but they are still in your stock, at their cost, until they come back. The Goods with job workers report under Reports → Manufacturing shows what is out with whom.
What comes back
The job worker may return goods as sent, return something new made from them, use some up, and leave waste or scrap. Record each of these on Record goods back, as often as goods arrive. The challan shows what was sent, what is back, what was used and what is still out, and each receipt is listed under Back from the job worker.
ITC-04 from your challans
The ITC-04 tab lists goods sent (table 4) and goods received back (table 5A) for the period, straight from your challans, in the columns the GST portal asks for. You do not keep a separate register.
Scope
This screen covers goods you send out for work. It does not record work you do on other businesses’ goods at your own premises.
Who can do it
Job work needs the manufacturing permission, which the Owner and Admins have. The ITC-04 tab needs GST access, which the Owner, Admins, Accountants and the Chartered Accountant role have.
Questions
How long can goods stay with a job worker?
Under section 143 of the CGST Act, inputs must come back within one year and capital goods within three years of being sent out; moulds and dies, jigs and fixtures, and tools are not bound by this limit. EaseDesk sets the due date from the Capital goods switch and marks a challan Overdue after it. Goods not back in time are treated as supplied to the job worker on the day they were sent, so speak to your CA about an overdue challan.
How do I pay the job worker for their work?
Record their invoice for the job charges as an expense bill under Purchases, with the GST they charge, and pay it like any other bill.
Who has to file ITC-04, and how often?
As the principal who sends goods for job work, you report them in ITC-04 on the GST portal, half-yearly if the annual turnover is above ₹5 crore, yearly otherwise. On the ITC-04 tab, choose April–September, October–March or the whole year and click Excel for ITC-04.
Can I cancel a challan?
Yes, until anything has come back. Click Cancel challan and the goods return to the warehouse they were sent from.
