Connect an AI assistant (MCP)
You can connect an AI assistant such as Claude, ChatGPT or Cursor to your organisation, so it answers from your own data and prepares drafts. Make a connection under Settings → Organisation → AI connections, choose how far it may go, and give the assistant the address and the token.
In EaseDesk: Settings → Organisation → AI connections. Log in or start a free trial.
Steps
- 1 Open Settings → Organisation and go to the AI connections tab. Only an Owner or Admin sees it.
- 2 Click New connection and say what it is for, such as Claude on my laptop.
- 3 Under How far may it go, choose Read to start. Tick the parts of the business it may reach and how long it works.
- 4 Click Make the connection. Copy the Token now; it is not shown again.
- 5 In your assistant, add a connector or MCP server with the Address shown and the token. In an assistant that offers Connect, sign in to EaseDesk and choose the same options there.
- 6 Ask the assistant a question, such as who owes you the most. Click Activity to see each call it made.
What a connection is
A connection lets one AI assistant work with one organisation. It acts as you, with your role, and you choose three things: how far it may go, which parts of the business it reaches, and how long it works. You can make up to 20 connections, one for each assistant or person.
What an assistant can never do
Whatever the level, a connection cannot invite or remove team members, change roles, make tokens or webhooks, pay for or change your EaseDesk plan, close a financial year, lock a period, mark a GST return as filed, change your settings or delete an issued document. It cannot change your bank accounts or UPI ID, a customer’s or vendor’s bank details, or any opening balance, and it cannot set a recurring invoice to issue and email by itself. It never sees anyone’s payslip but your own. Those stay with you on the screen.
Changing or stopping a connection
On the AI connections tab, each connection has Change (its level and parts of the business), Switch off (it stops until you switch it on again), Activity and Remove. A removed connection cannot be brought back; make a new one.
Calls and limits
A connection may make 60 calls a minute and 5,000 a day. The organisation as a whole has its own number of calls a day, which you set under Limits for every connection. Cancelling a document through an assistant always asks twice: the assistant must show you what will be undone first.
Questions
Can an AI assistant sign me up and set up my business?
Yes. Ask Claude, ChatGPT or another assistant to start an EaseDesk trial for you. EaseDesk emails you a 6-digit code and nothing is made until you give it to the assistant. It can also save your business details (legal name, GSTIN or state, address) so you can invoice straight away, and connect itself at the Prepare level, which reads and makes drafts but never issues or sends. You sign in with "Email me a code instead"; the connection is listed here and you can remove it at any time.
What can each level do?
Read looks things up and runs reports. Prepare also makes drafts, customers, items, tasks and opportunities. Post also issues documents, records receipts and payments, posts vouchers and moves stock. Send also emails customers and vendors and makes share and payment links.
How do I limit every connection at once?
Under Limits for every connection, choose the highest level any connection may have, untick the parts of the business that stay closed to AI, and set the calls a day. Click Save limits. The switch at the top stops every connection.
Can the assistant do more than I can?
No. A connection acts as the member who made it, in this organisation only. If your role changes, the connection changes with it, and if you leave the organisation it stops.
Where do I see what an assistant changed?
Every change is in the audit log with the words by AI connection and its name. The Activity list on the AI connections tab shows every call for 90 days, including the ones that were refused.
Why can I not choose Post or Send?
On the free trial a connection can go up to Prepare. Post and Send open when you are on a paid plan, if the limit for your organisation allows them.
