Turn a supplier bill photo into a draft

Photograph or upload a supplier's bill and EaseDesk reads it into a draft purchase bill, matched to the vendor and your items, with checks such as totals, GSTIN and a bill already entered. You check the draft and issue it. Bills can also be emailed to your own bill address.

In EaseDesk: Purchases → Purchase bills → Read a bill. Log in or start a free trial.

Steps

  1. 1 Open Purchases, Purchase bills and click Read a bill.
  2. 2 Choose the photo or PDF of the bill, or take a photo on your phone.
  3. 3 Look at the checks. A tick means it matched; a warning or problem says what to look at.
  4. 4 If the vendor is new, choose who it is from, or add them as a new vendor.
  5. 5 Click Open the draft, check the lines and prices, and issue it as usual.

Reading a bill uses your organisation’s AI credits. If AI is paused, the file still goes into Files and you can enter the bill by hand.

Questions

What does it match by itself?

The vendor by GSTIN or name, each line to an item you bought from that vendor before or by HSN and name, units, and GST rates. Lines it cannot match go to your Purchase account for you to choose.

Can I email bills instead?

Yes. In the Read a bill window, make your bill address and forward supplier emails there. Each PDF or photo becomes a draft and you are told. This needs email to be set up for your account.

Will it issue the bill?

Never. It makes a draft. Nothing reaches your books until you issue it.

Can it read bank statements too?

Yes. In Banking, Import statement takes a PDF as well as Excel or CSV. It reads the rows, checks every balance against the one before, and shows them before anything is imported.
