Upload, view and attach files

Open Files and click Upload to keep a PDF, image, Excel, CSV or Word file of up to 10 MB, or attach it to an invoice, bill, voucher or contract. Open any file in EaseDesk's own viewer, and see how much of your storage is used.

Steps

  1. 1 Open Files from the menu.
  2. 2 Click Upload and choose a PDF, a JPEG, PNG or WebP image, a CSV file, an Excel (.xlsx) file or a Word (.docx) file of up to 10 MB.
  3. 3 Click a file's name to open it in the viewer, without downloading it.
  4. 4 Use the … menu on a file's row to View, Download or Delete it.
  5. 5 To keep a file with a record, open the invoice, bill, voucher, contract or other record and click Attach in its attachments panel.
  6. 6 Click Export to download the list of files as Excel or CSV.

One place for your paperwork

Keep the vendor’s bill with the purchase bill, the signed contract with the contract, and the bank’s letter with the voucher. The Attached to column on the Files page shows which record each file belongs to, and each record’s attachments panel lists its own files.

Files can be attached to customers and vendors, items, sales and purchase documents, receipts, vendor payments, vouchers, contracts and opportunities.

Your storage allowance

The meter at the top of the Files page shows how much of your organisation’s storage is used. It counts everything you keep: uploads, attachments, your logo, and the PDFs EaseDesk generates. Sort the list by Size to find the largest files.

When your files use 80% of the allowance, the Owner and anyone who manages your EaseDesk plan see a banner in every page and get an email; they are told again at 95% and when storage is full. Deleting files frees space at once.

The viewer

PDFs, images, Excel and CSV sheets and Word documents open inside EaseDesk, on a computer or a phone, so you can check a bill or an agreement without saving it to the device first.

Which files can I upload?

PDF files, images (JPEG, PNG and WebP), CSV files, Excel workbooks (.xlsx) and Word documents (.docx), each up to 10 MB. Other types are refused before they are sent.

Where do the PDFs of my invoices go?

Every PDF EaseDesk makes for you, such as an invoice, quotation, statement or scheduled report, is kept as a file and appears in the list, so you can open it again at any time.

What happens when my storage is full?

New uploads and attachments are refused until you delete files you no longer need. Everything your business needs to keep running still works, including making, sending and printing invoices and statements, and scheduled reports.

Who can delete a file?

Anyone can delete a file they uploaded themselves. Deleting a file someone else uploaded needs the files permission, which the Owner and Admins have.
