How to switch from a billing app to EaseDesk

Export your item list and your customer and vendor list from your current billing app to Excel, note each customer's outstanding and your stock on a chosen date, import them into EaseDesk with its templates, and bill from there. Your old app stays as the record of earlier invoices.
When a billing app is no longer enough
A phone billing app is quick to start with and does one job well. The signs that you have outgrown it are usually these: your CA rebuilds your books every year from exports, purchases and stock are kept somewhere else, staff share one login, and nobody can say what the business earned last month without asking the CA.
EaseDesk keeps billing just as quick, and adds the rest in the same place: purchases, stock, accounts, GST returns and control over who can do what.
1. Choose the date
Switch on the first day of a month, after filing the earlier month’s GST return from your old app’s data.
2. Take your lists out
From your current app, export to Excel:
- your items, with HSN code, GST rate, unit, price and stock in hand;
- your customers and vendors, with GSTIN, address, mobile and the balance each one owes or is owed.
Also download the reports your CA will want for the earlier period, such as the sales and purchase registers.
3. Bring them into EaseDesk
Sign up and set up your business, then click Import in the Directory and under Items. Paste your exported lists into the templates and upload them. Opening balances for customers and vendors, and opening stock for items, come in with the same files. EaseDesk checks every row before saving.
4. Enter bank, cash and loans
Under Accounting → Opening balances, enter your bank and cash balances and any loans on the start date, so your books begin complete.
5. Give each person their own login
Invite the people who bill, buy and keep accounts, each with a role that fits their work, and invite your CA with the free Chartered Accountant login. See Invite your team.
What you gain, and what to check first
You gain books that are always current, purchase and stock control, GSTR-1, GSTR-3B and GSTR-2B reconciliation from your own records, and an audit trail. Before you move, check two things in the comparisons with Vyapar and myBillBook: EaseDesk needs an internet connection, and its Android app is still to come.
Questions
Why would I move from a billing app to EaseDesk?
A billing app is right while one person makes invoices. Businesses move when they want full accounts with a balance sheet, purchase and stock control, several staff with their own roles, GSTR-2B reconciliation, or manufacturing, without adding a second and third product.
Can I import data from Vyapar, myBillBook or a similar app?
There is no direct import from another app. Export your items and your customer and vendor lists from that app to Excel, then use the EaseDesk import templates. Check your app's reports or export menu for how to do this.
Will I lose my old invoices?
No. They stay in your old app, and you can keep its PDFs or exports. EaseDesk starts from opening balances on the date you choose.
Does EaseDesk have a mobile app like my billing app?
EaseDesk works in the browser on a phone today, with the same login. An Android app with offline billing is coming soon. If you bill mostly offline from a phone, a mobile billing app may still suit you better today.
What does it cost compared with a billing app?
EaseDesk is ₹490 a month plus GST for the first user and ₹290 for each additional user, billed yearly, with every feature included and a free login for your CA.
