How to move from Excel billing to GST billing software

List your customers, items and what each customer owes in three sheets, import them into the software, enter your stock and bank balances as on a start date, and raise the next invoice there. Keep the old Excel files as your record of earlier bills.
Why Excel stops working
Excel is a fine place to start. It fails quietly as you grow: a formula overwritten, a GST rate typed wrong on one line, an invoice saved over another, a customer’s balance that lives in someone’s head. None of it shows until a customer disputes a bill or a return does not match.
Billing software replaces the copying. You enter a customer or an item once, and every invoice, reminder, ledger and return uses the same record.
1. Tidy three lists
Before you import anything, put these in three clean sheets:
- Customers and vendors: name, GSTIN, state, address, mobile, email, credit days, and what they owe you or you owe them today.
- Items and services: name, HSN or SAC code, GST rate, unit, selling price, and the quantity in stock if you keep stock.
- Balances: bank balance, cash in hand and any loans, as on the day you start.

2. Choose the day you start
The first day of a month is simplest. Finish and file the earlier month from Excel as usual.
3. Set up and import
Sign up, enter your business details, GSTIN and bank account, then use Import in the Directory and under Items. Download each template, paste your sheet into its columns and upload. Rows with a problem, such as a GSTIN with a wrong character, are pointed out so you can correct the file.
4. Enter opening balances
Customer and vendor balances come in with the import. Enter bank, cash and other balances under Accounting → Opening balances.
5. Raise the next invoice in the software
Continue your invoice numbering in a new series for the software, so no number repeats. From the first invoice you will see what Excel never showed: the due date, the amount outstanding and the age of every unpaid bill, without building a report.
What to keep from Excel
Keep the old files, read-only, for the period before you switched. Your CA may need them for that year’s accounts. From the start date onward, do not keep a parallel Excel sheet; two records are how mistakes come back.
Questions
When does a business outgrow Excel for billing?
When you cannot say in a minute who owes you how much, when two people need the invoice file at once, when GSTR-1 takes a day of copying, or when an invoice number has been used twice. Any one of these costs more than software does.
Do I need to enter all my old invoices?
No. Enter what each customer owes you today as an opening balance, and start fresh. Keep the old Excel files for reference.
Can I import my customer and item lists?

Will my invoices look the same?
