AI Assistant privacy — how your data is handled

Full transparency on how the Easedesk AI Assistant accesses your data, where queries go, and what is NOT done with your information.

Quick answer

Your queries + data context are sent to Anthropic's Claude API for processing, with a strict no-training contract. Anthropic deletes the data after the response. Easedesk stores conversation history (your query + response only) for 30 days for debugging, then auto-deletes. Tenant data isolation is enforced — the AI can only see YOUR data.

What gets sent to the AI

Your query + relevant tenant data context (e.g. for 'show overdue invoices', the list of overdue invoices). The AI does NOT see your full database — only what's needed for the specific query.

Where it goes

Anthropic's Claude API endpoints. We use the Zero-Retention API contract — Anthropic does not store or use any data we send. The response comes back to your browser via Easedesk's server.

What is NOT done

  • Your data is NEVER used to train any AI model — ours, Anthropic's, or anyone else's
  • Other tenants cannot see your queries or data
  • Conversations are NEVER shared with third parties
  • We do not aggregate AI usage across tenants for marketing

What we keep

Conversation history (query + response, no underlying data) for 30 days for debugging. After 30 days, auto-deleted. You can also manually clear from the assistant panel → History → Clear All.

Disabling the AI Assistant

Owners can disable the AI Assistant for the entire tenant under Settings → Modules → AI Assistant → Disable. The violet icon disappears from all users' navbars.

Frequently asked questions

Is this DPDP Act compliant?
Yes. Anthropic's Zero-Retention contract + our tenant isolation + 30-day deletion + explicit user opt-out all meet DPDP Act 2023 requirements for AI data handling.
What if I have a sensitive question?
You can disable the AI for specific modules (Settings → AI → Module Scope) so it can't access data from those modules.
Can my team's AI conversations be audited?
Owners can view aggregated usage (count per user, top queries) but not the actual conversation content — that's private to the user.
