Quick answer

The Payroll module in Easedesk ERP lets you run accurate payroll. It is built India-first with configurable salary structures, auto pf/esi/tds, and payslip pdfs — all in one place, designed for Indian SMEs. Data flows automatically to and from other Easedesk modules, GST returns are auto-populated, and access is governed by role-based permissions.

What is the Payroll module?

Easedesk's Payroll module runs end-to-end monthly payroll for Indian businesses — salary computation with attendance/LOP, statutory deductions (PF, ESI, PT, TDS), reimbursements, loan EMIs, payslip PDF generation, and a bank-ready NEFT/IMPS transfer file. One click runs payroll for 1 employee or 500.

It is included in every Easedesk subscription (subject to plan availability) and works out-of-the-box with sensible Indian defaults. Whether you're a 10-person startup or a 500-person enterprise, the Payroll module scales without changing how you log in or where your data lives.

Unlike standalone payroll tools, Easedesk's Payroll module is part of a connected ERP — data flows automatically between modules (your invoice posts to accounting, your payroll updates statutory liabilities) so you never re-key the same number twice.

Why Payroll matters for Indian businesses

Built for Indian payroll law: PF 12%+12% on Basic up to ₹15,000, ESI 0.75%+3.25% up to ₹21,000 gross, Professional Tax slabs per state, TDS as per Section 192 with old + new regime auto-selection, Form 16 and Form 12BB.

For payroll, attendance and statutory compliance, the regulatory landscape changes every few months — GST rate revisions, new TDS sections, fresh EPFO circulars. Easedesk's product team monitors gazette notifications and pushes updates so your Payroll module always reflects the current law without you having to lift a finger.

Key features and capabilities

The Payroll module in Easedesk ships with the following capabilities out of the box:

  • Configurable salary structures
  • Auto PF/ESI/TDS
  • Payslip PDFs
  • Bank transfer file

Real-world use cases

Here are some concrete scenarios where Easedesk customers use Payroll in their day-to-day operations:

100-person IT services firm with metro + non-metro offices

Salary structure auto-applies 50% HRA for metro and 40% for non-metro employees. PT slabs auto-pick from each employee's work location.

Manufacturer with workers + staff

Workmen on hourly attendance × shift rate; staff on monthly fixed salary. Both run in the same payroll cycle with separate bank files.

Startup adjusting old vs new tax regime

Employees declare regime in ESS. Easedesk computes TDS under both regimes monthly and uses the declared one — switching between FYs is one click in Form 12BB.

Who should use the Payroll module?

Teams that accurate payroll regularly will get the most value out of this module. Typical users include HR managers, payroll administrators, talent acquisition leads, and people-operations teams.

For Indian SMEs, this module is most actively used by promoter-directors and finance-controllers in companies up to ₹50 crore turnover, and by dedicated functional teams in larger organisations.

Key metrics and KPIs you can track

Easedesk's Payroll module makes the following metrics available out of the box, both in dashboards and as scheduled reports:

  • Total payroll cost (gross + employer PF/ESI/gratuity)
  • Total TDS deducted
  • Total PF + ESI contribution
  • Payroll cycle time (days from cutoff to disbursement)
  • Payslip query rate (queries per 100 payslips)

Key terms in Payroll

If you're new to Payroll, here is the essential vocabulary used inside the module and in Indian business practice:

Salary Structure

Template defining how CTC breaks into components — Basic, HRA, Special Allowance, LTA, etc. Each component has its own taxability and PF-applicability flags.

LOP (Loss of Pay)

Salary deducted for unpaid absences. Calculated as gross / paid days × LOP days.

ECR

Electronic Challan-cum-Return — the monthly file uploaded to EPFO containing PF wages and contributions for every employee.

Form 16

Annual TDS certificate issued to employees, summarising salary and TDS deducted for the FY. Due 31 May.

Old vs New regime

Two parallel income-tax systems. Old has more deductions (80C, HRA exemption); New has lower slabs but fewer exemptions. Easedesk computes both monthly.

Integrations available with Payroll

The Payroll module connects to the following external systems and government portals so you don't have to re-key data:

  • EPFO unified portal (ECR upload)
  • ESIC portal (challan upload)
  • TIN/NSDL (24Q quarterly return file)
  • NEFT/IMPS bank files (all major Indian banks)
  • Tally export

Why teams choose Easedesk for Payroll

Compared to standalone tools, point solutions and legacy desktop software, Easedesk's Payroll module gives you:

  • Hours saved each month
  • Zero compliance errors
  • Auditable salary history

How Payroll connects with other Easedesk modules

When you use the Payroll module, the following downstream modules receive data automatically — so you don't have to maintain parallel records:

  • Accounting (salary payable, statutory liabilities)
  • TDS (deduction register, 24Q)
  • PF (ECR file)
  • ESI (monthly challan)
  • Banking (NEFT/IMPS file)
  • Compliance (Form 16, 12BB)

Reports and exports

The Payroll module produces these built-in reports — all exportable to Excel, PDF or CSV, and schedulable to your email:

  • Salary register (per-employee monthly)
  • Cost-to-company report
  • PT / PF / ESI / TDS summaries
  • Variance report (month-on-month)
  • CTC component analysis

Permissions and access control

Access to the Payroll module is governed by Easedesk's role-based access control (RBAC). By default, the Owner role has full access (wildcard permissions). The predefined roles that include Payroll access are typically Admin, HR Manager, and the Viewer role (which gets read-only access).

Owners can edit any predefined role's permissions, or create new custom roles, in Settings → Users & Roles. Permissions are checked at the API level on every request — so even if a user finds a hidden URL, they cannot bypass the role gates.

For sensitive operations like delete, approve and export, you can require an extra-step approval workflow — see the Approvals module documentation.

Best practices for Payroll

Customers who get the most out of the Payroll module follow these patterns:

  • Define salary structures once, reuse across employees. Avoid one-off custom structures.
  • Run a dry-run on the 25th, fix issues, do the final run on the 30th. Saves payroll-day panic.
  • Enable employee preview in ESS — staff see their payslip 1 day before disbursement and flag errors early.
  • Maintain a 'Payroll Closure Checklist' SOP — published in the SOP module — for the payroll team.

Getting started checklist

Ready to start using the Payroll module? Here's a recommended 5-step setup checklist:

  • Confirm the module is enabled in your plan (Settings → Modules)
  • Ensure the right users have access via predefined or custom roles (Settings → Users & Roles)
  • Employee Statutory tab complete (PAN, UAN, ESIC IP, bank account)
  • Salary structure assigned to each employee
  • Attendance / leave data finalised for the month
  • Create your first payslip from the module sidebar

Frequently asked questions

What does the Payroll module do in Easedesk?
Easedesk's Payroll module runs end-to-end monthly payroll for Indian businesses — salary computation with attendance/LOP, statutory deductions (PF, ESI, PT, TDS), reimbursements, loan EMIs, payslip PDF generation, and a bank-ready NEFT/IMPS transfer file. It is built specifically for Indian SMEs and works with the rest of Easedesk's 50+ module ERP platform.
Is the Payroll module included in my Easedesk plan?
Payroll is part of Easedesk's 50+ module platform and is available subject to your subscription plan. Most plans include it by default — check Settings → Billing for the exact list of modules covered by your current plan.
Who can access the Payroll module?
Access is governed by role-based permissions. By default, Owner and Admin roles have full access; functional roles (HR Manager, etc.) get scoped access, and Viewer gets read-only. Customise this in Settings → Users & Roles.
Can Payroll be disabled if my team doesn't need it?
Yes. Owners can disable any non-mandatory module under Settings → Modules. Disabled modules are hidden from the sidebar but their underlying data is preserved if you re-enable later.
Where does data in the Payroll module come from?
Data is created either manually from the in-app forms, imported via CSV from a spreadsheet, ingested through the Easedesk REST API, or auto-generated from other modules (for example, journal entries created automatically when an invoice is posted to Sales).
Is the Payroll module GST-compliant?
The Payroll module integrates with Easedesk's GST module — any transaction that has a tax implication automatically flows into GSTR-1 / GSTR-3B at the right time.
Does the Payroll module work on mobile?
Yes — Easedesk is fully responsive. The Payroll module renders well on phones and tablets, and the most-used actions (creating payslips, approving, viewing reports) are optimised for one-handed use.
Can I export Payroll data?
Yes. Every list view supports export to Excel, CSV and PDF. Reports can be scheduled to email automatically (daily / weekly / monthly). Bulk exports up to 50,000 rows are supported synchronously; larger ones run as background jobs.
How does the Payroll module handle multi-branch businesses?
Easedesk supports multiple departments, branches, cost centres and warehouses out of the box. Records in the Payroll module can be tagged to the right entity, and Department Scoping in RBAC restricts user access to their assigned branches.
Is data in the Payroll module backed up?
Yes. Easedesk runs continuous backups with point-in-time recovery for the last 30 days, plus daily snapshots retained for 90 days. Your data is stored in India (Mumbai region) and meets DPDP Act 2023 requirements.
How does Easedesk handle salary revisions mid-year?
HR → Employee → Salary History → Add Revision. Enter effective date and new structure. Easedesk pro-rates the month of revision and auto-uses the new structure thereafter.
What about variable pay / bonus?
Payroll → Variable Payouts → import or enter per-employee variable amounts. They appear on that month's payslip as a separate component, with full TDS impact computed.
Can I run off-cycle payroll for a single employee?
Yes — Payroll → Off-Cycle → pick employee + reason (joining bonus / arrears / F&F). The off-cycle payslip is generated and posted separately, fully traceable.
How is gratuity computed?
For employees with > 5 years of continuous service, Easedesk computes gratuity as (last basic / 26) × 15 × completed years, capped at ₹20 lakh. Auto-accrued monthly in Provision for Gratuity.
Does Easedesk file 24Q on its own?
Easedesk generates the FVU-validated 24Q TXT file ready for upload to TIN-FC or NSDL. Direct e-filing via TRACES is on the roadmap.
