How to create a payslip in Easedesk — step-by-step Payroll guide
Complete step-by-step guide to creating, editing, importing and managing payslips in the Easedesk Payroll module. Includes prerequisites, common errors and best practices.

To create a payslip in Easedesk, open Payroll from the sidebar, click "New Payslip", fill the required fields and click Save. The new record is immediately searchable and triggers downstream automations — accounting posts, notifications, approvals — based on the module's wiring.
Before you start
Before you create your first payslip in Easedesk, make sure the following are in place. Skipping any of these usually causes validation errors at save:
- •Employee Statutory tab complete (PAN, UAN, ESIC IP, bank account)
- •Salary structure assigned to each employee
- •Attendance / leave data finalised for the month
Step-by-step: how to create your first payslip
Follow these 7 steps to create a payslip in the Payroll module. Most users complete this in under 2 minutes once the prerequisites are in place.
Step 1 — Open Payroll → Run Payroll
Pick the cycle (month). Easedesk shows employee count and any blockers (missing attendance, missing UAN).
Step 2 — Resolve blockers
Each warning has a fix link. Click through and resolve, then come back to the run page.
Pro tip: Lock attendance the day before payroll — saves 80% of blockers.
Step 3 — Click Compute
Easedesk runs in batches of 50 employees. Takes ~10 seconds for 100 employees. Each payslip is computed: gross, deductions, net pay, and tax projection.
Step 4 — Review the preview
Spot-check 3-5 employees, especially first-month joiners, exiters and salary-change cases. Click any name to see full payslip preview.
Step 5 — Approve and lock
Approve closes the cycle for editing. Easedesk posts the Salary Payable journal to Accounting and queues bank file + payslip generation.
Step 6 — Disburse via bank
Download the bank NEFT/IMPS file from Payroll → Disbursements. Upload to your bank portal — funds hit employee accounts same day.
Step 7 — Distribute payslips
Click 'Email Payslips' — Easedesk sends password-protected PDFs (password = first 4 PAN + DDMM of DoB by default) to every employee.
What happens after you save a payslip
Creating a payslip in Easedesk is rarely an isolated event — the platform's strength is that data flows automatically to all the right places.
The following downstream modules are updated automatically when you save:
- •Accounting (salary payable, statutory liabilities)
- •TDS (deduction register, 24Q)
- •PF (ECR file)
- •ESI (monthly challan)
- •Banking (NEFT/IMPS file)
- •Compliance (Form 16, 12BB)
Bulk-importing payslips from a spreadsheet
If you're migrating from another tool or onboarding historical data, you don't need to create payslips one at a time. Easedesk supports CSV bulk import from the list view.
Click the Import button on the Payroll list page. Download the sample CSV template — it includes every supported column with example values and validation notes in the header row. Fill it in your spreadsheet of choice (Excel, Google Sheets, Numbers), save as CSV, and upload.
Easedesk validates every row before commit — invalid rows are highlighted with the specific error and skipped, valid rows are imported. You can also run a "dry run" to preview the import without committing. For very large imports (> 5,000 rows), the import runs as a background job and emails you a summary when complete.
Editing a payslip
To edit an existing payslip, click its row in the list view to open detail mode, then click the Edit button at the top-right. All changes are recorded in the Audit Log along with the user, timestamp, IP, and the before-and-after value of each changed field.
If the payslip has been used downstream (for example, an invoice that has been paid, or a PO that has a GRN against it), Easedesk locks certain fields to preserve the audit chain. The locked fields are clearly marked, and you can usually achieve what you need via a reversal + fresh payslip or by raising a credit / debit document.
Deleting or cancelling a payslip
Hard-delete is intentionally restricted in Easedesk because business records have downstream impact and auditors need a complete trail.
If a payslip has not been used downstream, you can hard-delete it from the kebab menu (•••). If it has been used, Easedesk will offer to cancel or void instead — the record stays in the database with a Cancelled status, but no longer affects reports or downstream modules.
Cancelled payslips can usually be revived if needed — open the cancelled record and click "Reinstate".
Best practices when working with payslips
Customers who get the most reliable results follow these patterns:
- •Define salary structures once, reuse across employees. Avoid one-off custom structures.
- •Run a dry-run on the 25th, fix issues, do the final run on the 30th. Saves payroll-day panic.
- •Enable employee preview in ESS — staff see their payslip 1 day before disbursement and flag errors early.
- •Maintain a 'Payroll Closure Checklist' SOP — published in the SOP module — for the payroll team.
